This Privacy Policy applies to www.colorjetbd.com, the COLORJET Management Suite Android application (package: com.colorjetbd.managementsuite), customer and service forms, the website AI Business Assistant, CRM communications and related COLORJET Bangladesh digital services. COLORJET Bangladesh acts as the organization responsible for the personal data described here.

1. Information we collect
We collect information that you provide, including name, mobile number, email address, company or business name, area, product interest, quotation or service details, account information, support history, communication preferences and the content of messages you send. For warranty, delivery, payment confirmation or service work, we may also receive an invoice/order reference, machine model or serial number, site information and documents that you choose to provide through an approved channel.

The Management Suite may process authenticated account details and business records required for the modules available to an authorized user. The current public release does not require contacts, precise location, camera, microphone, SMS, call log or storage access for basic use. If a future feature needs an optional device permission, the app will request it at the time of use and the relevant store disclosure will be updated before release.

We also collect limited technical and security data such as IP address, login time, failed sign-in attempts, browser/device type, request time and operational error logs. We do not intentionally collect passwords in readable form. Passwords are stored using one-way password hashing.

2. How we use information
We use information to create and secure authorized accounts; answer product and quotation inquiries; process pre-orders and delivery coordination; provide installation, training, warranty, AMC and technical support; maintain CRM conversation history; confirm payments or commercial references; respond to privacy requests; prevent fraud or misuse; comply with accounting, contractual and legal duties; and improve service reliability.

3. AI Business Assistant
The website assistant uses published product, spare-parts, FAQ and policy information together with the profile and question that the visitor submits. It stores the submitted profile, consent time, question and generated answer so authorized staff can follow up. The assistant does not read private ERP records, live stock, private employee records, passwords or payment-card data, and it does not make a final price, warranty, credit or service-eligibility decision. Do not submit passwords, card details, national identification numbers or confidential third-party data in the chat.

4. Sharing and service providers
We do not sell or rent personal information. We may share only the minimum information necessary with authorized COLORJET staff; hosting, email, messaging, backup and security providers; approved installation or service partners; delivery/logistics providers; payment or accounting support providers; and government or legal authorities where required. Official WhatsApp, Messenger, email or other communication services process messages under their own privacy terms. We require staff and providers to use data only for the approved purpose and to protect it appropriately.

5. Marketing choices
We send promotional communications only where an active marketing consent is recorded or another lawful basis applies. You can opt out at any time through the message channel or by contacting us. Service, warranty, security and transaction notices may still be sent when needed to fulfil an existing request or agreement.

6. Security
We use role-based admin access, CSRF protection, sign-in throttling, secure session cookies, audit logging, file-type validation, restricted server folders, encrypted integration credentials where the server supports OpenSSL, and HTTPS in production. Access is limited to authorized personnel with a business need. No internet transmission or storage system can be guaranteed completely secure, so users should also protect their credentials and report suspected misuse promptly.

7. Retention
Website inquiries, AI lead profiles and ordinary CRM conversations are normally kept while the request is active and for up to 24 months afterward. Customer, invoice, warranty, service and commercial records may be kept longer, including up to seven years where accounting, contract, fraud-prevention, dispute or legal requirements apply. Security and access logs are normally kept for up to 12 months. Backups are rotated on the hosting schedule and may take 30–90 days to expire. After a verified deletion request is completed, a minimal non-identifying request reference and outcome may be kept for 180 days to demonstrate that the request was handled. We may anonymize information instead of deleting it when the remaining record no longer identifies a person.

8. Access, correction and deletion
You may request access to, correction of or deletion of eligible personal data. Submit the Data Deletion Request form using the contact details associated with your account or request. We may ask for reasonable identity verification. We aim to complete a verified eligible deletion request within 30 days. Some information cannot be deleted immediately where it is needed for an active transaction, payment, warranty, service, security investigation, legal duty or dispute; in that case we will restrict or minimize the information and explain the outcome where appropriate.

9. Children
Our products and business systems are not directed to children under 18, and we do not knowingly create accounts for children. If you believe a child provided personal data, contact us so we can review and remove eligible information.

10. International processing
Some hosting, email or messaging providers may process data outside Bangladesh. When this occurs, we use the service only for the stated business purpose and apply available contractual, access and security safeguards.

11. Policy changes
We may update this policy when our services, app permissions, providers or legal requirements change. The current effective date will be shown at the top, and material changes will be published before or when they take effect.
